HIPPOCAMPE, the company that operates Villa Hippocampe, attaches great importance to protecting the personal data of its visitors and guests. In accordance with Regulation (EU) 2016/679 of 27 April 2016 (GDPR) and the amended French Data Protection Act (loi Informatique et Libertés), this policy explains how your personal data is collected, used and protected when you visit our website, contact us or book a stay.

Data collected and purposes
Online booking. Bookings made from the website’s Booking page are processed by the Amenitiz booking module, which is built into the website. We collect your surname, first name, email address, telephone number, information about your stay (dates, number of guests, special requests) and the data needed for payment, which is processed directly by the module’s secure payment provider. This data is used to manage your booking, organise your stay and issue invoices. Legal basis: performance of the booking contract and compliance with our legal obligations.
Contact by email or telephone. When you contact us, we process the information you send us (identity, contact details, content of your message) in order to respond to your request. Legal basis: pre-contractual measures taken at your request and our legitimate interest in managing our customer relationships.
Booking via a third-party platform. If you book your stay via a third-party platform (Booking.com or equivalent) rather than directly with us, that platform collects and processes your data itself as a separate data controller. We only receive from it the information needed to prepare your stay (identity, dates, contact details). Please consult the privacy policy of the platform concerned.
Audience measurement. The website does not currently use any audience measurement or advertising tools. Should such a tool be introduced, your consent would be obtained beforehand and this policy would be updated.
Recipients of the data
Your data is intended exclusively for HIPPOCAMPE staff authorised to handle your request or booking, and for the following service providers acting on our behalf:
Amenitiz, provider of the online booking module, and its payment provider
Hostinger International Ltd., the website’s host
the third-party booking platform(s) (Booking.com or equivalent), when you book through them
Your data is never sold or transferred to third parties for commercial purposes.
Transfers outside the European Union
Your data is processed within the European Union. Should one of our service providers need to transfer data to a country outside the European Union, such a transfer would be governed by the European Commission’s standard contractual clauses or by any other mechanism recognised as providing an adequate level of protection.
Retention period
Data relating to a booking or contact request: kept for as long as necessary to process the request and for the duration of the business relationship, then for 3 years from the last contact.
Accounting records and invoices: kept for 10 years, in accordance with legal obligations.
Cookies
The website only places cookies that are strictly necessary for it to work and for online bookings to run smoothly (Amenitiz module). These cookies are exempt from consent. No advertising or audience measurement cookies are used. You can set your browser to block or delete cookies at any time; some features of the website, including booking, may then no longer work properly.
Your rights
Under the GDPR, you have the following rights over your personal data: right of access, rectification, erasure, restriction, objection and data portability.
You can exercise these rights by contacting us at hippocampe.var@gmail.com.
You also have the right to lodge a complaint with the French data protection authority (Commission Nationale de l’Informatique et des Libertés, CNIL) at www.cnil.fr.
Security
HIPPOCAMPE implements appropriate technical and organisational measures to protect your personal data against loss, alteration or unauthorised access.
Changes to this policy
This privacy policy may be updated at any time, in particular to comply with legal, regulatory or technical changes. We invite you to consult it regularly.
